Impel College of London is committed to protecting your privacy. This policy explains how we collect, use, and safeguard your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information We Collect

We may collect students’ personal data in a number of ways, for example: when they enrol with us and complete enrolment forms and when they complete other entry processes and procedures and provide evidence to us to support eligibility for our programmes; when they communicate with us by telephone, email or via our website; and in various other ways as they interact with us during their time as a learner.

The minimum items within a core student record include: student name, date of birth, address at commencement and completion/termination, course and dates, visa status, performance/assessment details, and details of student’s status upon completion or leaving.

How We Use Your Information

Information provided by applicants will be used solely for the purposes of admissions, enrolment, and related statistical analysis. We use your personal data to process course applications and enrolment, provide educational services and student support, comply with UK Visas and Immigration (UKVI) requirements, communicate about courses and events, and improve our services. We do not sell your data to third parties. All information will be treated with the utmost confidentiality.

Data Security

Appropriate levels of security are in place to prevent the unauthorised or unlawful use and disclosure of information. Paper records containing confidential information are stored in locked cabinets within locked rooms when not in use, and access only granted to authorised staff. Access to restricted electronic data is controlled through the use of log-ins, multi-factor authentication, passwords and, if appropriate, encryption.

How Long Your Information Is Kept

Your personal data will be retained only for so long as it is reasonable for us to do so and obligations to Awarding Bodies set out periods for which data must be retained. The College does not keep all records permanently. Only records which have evidential, legal, historical, or business importance are retained for a specific length of time or permanently (in limited cases).

Your Rights

Under UK GDPR, you have the right to: obtain access to, and copies of, the personal data that we hold about you; require that we cease processing your personal data if the processing is causing you damage or distress; require us not to send you marketing communications; require us to correct the personal data we hold about you if it is incorrect; require us to erase your personal data (unless we are required by contractual or regulatory reason to retain it); require us to restrict our data processing activities; and object to any of our particular processing activities where you feel this has a disproportionate impact on your rights. You are also entitled to request that your data be transferred to another organisation.

Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply.
